Terms and Conditions
The Travel Fairy is committed to helping your experience the world and provide leisure concierge travel services. To that end, we strive to make every aspect of the trip memorable including the planning process, so that the memories you make on the ground will last a lifetime.
These terms and conditions apply to your relationship with The Travel Fairy, LLC. Our ground operators often have terms and conditions that will be provided upon receipt before engagement and deposit. It is the client’s responsibility to read and understand all terms and conditions.
Agency: The Travel Fairy, LLC is an independent affiliate of McCabe World Travel, a proud member of Virtuoso®. As a concierge service, we connect our clients with the in-country ground operators, hotels, cruise lines, hotel booking agents and tour operators to provide the best service possible. While the clients work directly with us, any payments are rendered directly to the supplier. The Travel Fairy, LLC does not operate, control or otherwise provide the services of the independent travel vendors. Hence, the client agrees that the Travel Fairy shall not be responsible for any loss, accident, injury, delay, defect, omission or irregularity which may occur or be occasioned, whether by reason of any act, negligence or default of any company or person engaged in or responsible for carrying out any of the arrangements, or otherwise in connection therewith.
Ground Operator Price Breakdowns
When we provide clients with a full packaged itinerary that includes a variety of services including but not limited to hotels, tours, and transfers, from a ground operator (also called a destination management company “DMC” or “onsite”) we do not provide breakdowns of the services provided. Our ground operators have contracted rates with many of their own suppliers and as such we do not publicize this confidential information.
Travel Insurance
Unexpected circumstances can arise at any stage of the travel planning process as well as while away from home. A sudden health emergency for you or an immediate family member could throw a wrench in the best laid plans. What if a family member fell ill just before departure? What if you arrived in Paris and your luggage arrived in Prague? What if you fell ill while on safari in South Africa? Travel insurance is designed to remove these worries and protect your investment from the unforeseen.
PLEASE NOTE THAT TRAVEL INSURANCE POLICIES HAVE SPECIFIC TIME LIMITS FOR PURCHASE AFTER INITIAL DEPOSIT IN ORDER TO COVER ANY PRE-EXISTING MEDICAL CONDITIONS OR TO PROVIDE FOR CANCEL FOR ANY REASON (CFAR). Travel insurance can be provided by the tour company or independent travel insurers and the options will be discussed at the time of initial deposit. If you decline to purchase travel insurance, a travel insurance waiver form must be signed before final payment.
Documentation Requirements
The client is responsible to obtain and carry a valid passport, visa(s), and all other documents required by applicable government regulations. When traveling domestically or internationally, the U.S. Transportation Security Administration (TSA) and U.S. Department of Homeland Security (DHS) advise that passengers carry at least two forms of acceptable identification. The name, date of birth and gender that appears on the identification card must exactly match the data listed on airline ticket(s) and booking records. Certain countries will not admit a passenger whose passport expires within six (6) months of the date of entry. Non-United States citizens may require additional documentation. The Travel Fairy is not responsible for lost payments due to invalid or unissued travel documents (identification card, passport, visa). Please note that USA rules regarding entry and exit change on a daily basis.
To ensure that all traveler information is correct, we require that our clients provide us with a copy of the travelers’ passports upon payment of the service fee and prior to booking any international travel. We use passports to book airfare – where names must be spelled as they are on the identification – and to secure cruises, hotels, car rentals, and tours, as many companies require full names for all travelers. We may also need to input the passport issue date or expiration dates. As such, The Travel Fairy, LLC is not responsible for fees incurred due to misspellings if a copy of the passport is not provided.
If a child (under the age of 18) is traveling with only one parent or with someone who is not a parent or legal guardian, U.S. Customs and Border Protection (CBP) strongly recommends that the accompanying adult have a note from the non-traveling parent (or, in the case of a child traveling with neither parent, a note signed by both parents) stating “I acknowledge that my wife/husband/etc. is traveling out of the country with my son/daughter/group. He/She/They has/have my/our permission to do so.”
CBP suggests that this note be notarized. If there is no second parent with legal custody of the child (e..g., the second parent is deceased, one parent has sole custody, etc.), relevant paperwork such as a court decision, birth certificate naming only one parent, death certificate, etc., would be useful as well.
Safety and Risks
Travel to certain destinations may involve greater risk than others. The Travel Fairy, LLC recommends clients remain informed on a daily basis as to current news events, as well as to review travel prohibitions, warnings, announcements and advisories issued by the United States Government prior to booking travel to international destinations. Please consult with your health care provider, health insurance company, and/or doctors if you have questions regarding your health or medical ability to travel. Any vaccines or other health requirements needed in order to travel must be obtained by the client at their own cost. The Travel Fairy, LLC is not liable for any costs incurred due to lack of vaccines or poor health.
Cancellations
All changes and/or cancellations must be made in writing. Any changes to a booking past the deposit will incur a $50 change fee. Any changes to a booking made past the final payment date will incur a $150 change fee. Any cancellations will incur a $250 cancellation fee. All fees are on top of any fees that the supplier levies.
